Inventory Specialist

Mission and Scope

The purpose of this position is to maintain an adequate food and supply inventory for the Food Service Department, while ensuring that the inventory is not excessive, is stored correctly and is available as needed in a timely manner using the RMS inventory software.



Education: High school or G.E.D. and 2 years formal education beyond high school level


Experience: At least 4 years experience in food service ordering and inventory control; experience in RMS or similar inventory control system. General working knowledge of food products and restaurant equipment. Some working knowledge of the catering sales process, conducting inventories and big 4 inventories.


Computer Skills: Microsoft Office & RMS or similar inventory control system


Physical Requirements of the Position

This position has the following special requirements:

  • Walking, climbing (stairs) to access other departments
  • Standing for long periods of time (2-4 hours) at a desk operating a computer terminal
  • Lifting, carrying, pushing supplies & boxes up to 50 lbs. waist high
  • Bending, kneeling, reaching to store/retrieve supplies
  • Sight, reading, wrist movements , feeling to operate food service equipment, computer terminal, develop schedules, review reports
  • Talking, hearing to instruct employees and assist guests and trainees in person and over the telephone

This position involves working in a kitchen/food service environment that is subject to changing temperatures. This position deals extensively with guests and employees throughout the organization.

Position Duties

Food Service Inventory

  1. Responsible in assisting Executive Chef, Food Service Director and Catering Director in the ordering of food and processing orders.
  2. Responsible for creation of new items in inventory system and controlling vendor selection and monitoring inactive items.
  3. Responsible for the input of inventory counts and transfers and Inventory control process for Mars Grill®, Crew Galley, and special events.
  4. Responsible for the organization of purchase orders and the input into inventory system on a daily bases and processing in accounting.
  5. Responsible for the creation and organization of storage bin locations in coolers and dry storage areas.
  6. Responsible for organization and sanitation of all coolers and stock rooms.
  7. Responsible for the movements of products for special events to the proper location for productions.
  8. Communicate with Chef, Food Service Director, Catering Director and Kitchen Manager where products are stored.
  9. Responsible for the end of month inventories and counts. All Counts must balance each month.
  10. Will help Special Events Director, Food Service Director, and Kitchen Manager with ordering and processes if needed.
  11. Responsible in assisting Chef in special needs menus and food purchasing.
  12. Responsible for end-of-year inventory with the state.



  1. Systematically conduct physical inventory counts in an accurate manner for both on site and off site facilities.
  2. Store supplies, materials, merchandise, brochures, and applications in a manner that optimizes space.
  3. Maintain accurate records of supplies, materials, merchandise, brochures, and applications.



  1. Ensure the accurate and timely receipt, storage, and distribution of materials, supplies, brochures, and other related documents for USSRC camp programs.
  2. Transport counselor uniforms to and from dry cleaners in an accurate and timely manner.


Shipping / Receiving

  1. Ensure that all packages, supplies, materials, exhibits, and merchandise received by the USSRC are accounted for and in good condition.
  2. Ship packages, supplies, materials, exhibits, and merchandise from the USSRC in an accurate and timely manner.
  3. Prepare and distribute invoices and vouchers for all shipments received by the USSRC in an accurate and timely manner.
  4. Input invoices and vouchers into computer in an accurate and timely manner to maintain accountability of all shipments received by the USSRC.
  5. Ensure packing slips for shipments received are in accordance with standing purchase orders.
  6. Ensure that all express mail, FedEx, Airborne, DHL, UPS Next Day and Second Day, RPS and air freight carriers are signed for, logged in, and routed to appropriate department in an accurate and timely manner.
  7. Deliver supplies, brochures, applications, and merchandise to USSRC departments in an timely manner.
  8. Alert the property department upon the receipt of items of $100 value or over in a timely manner.
  9. Meet or exceed the expectations of the Assistant Warehouse Manager for the accurate and timely completion of related tasks and assignments.
